Invoices

Invoices is where you create and track all payments for your program — deposits, puppy purchase prices, co-own fees, and anything else you bill a buyer for. You can accept payments online through the Buyer Portal or record manual payments you’ve collected another way.

What You Can Do Here

  • Create invoices for buyers with line items, amounts, and tax
  • Send invoices to buyers through the Buyer Portal for online payment
  • Record manual payments (cash, check, Venmo, etc.) on any invoice
  • Track payment status across all invoices — paid, unpaid, partial, or processing
  • Link invoices to specific dogs and contacts
  • Search and filter invoices by status, buyer, or date

How It Works

Creating an Invoice

  1. Go to Invoices in the left menu.
  2. Click Add Invoice.
  3. Select the buyer contact and optionally link a dog.
  4. Add one or more line items with descriptions and amounts.
  5. Save and share the invoice through the Buyer Portal.

Payment Statuses

  • Unpaid — invoice has been sent but no payment received yet
  • Partial — buyer has paid some but not the full amount
  • Processing — an online payment has been submitted and is in transit
  • Paid — payment has been received and confirmed

Recording a Manual Payment

If a buyer pays you outside of BreederBuddy (cash, check, bank transfer), you can mark the invoice as paid manually:
  1. Open the invoice.
  2. Click Mark as Paid and enter the payment details.
  3. The invoice status updates to Paid.

Tips & Common Questions

Yes — buyers can pay online through the Buyer Portal using a credit or debit card. Payments process through Stripe and are deposited to your bank account.
Yes — you can add a tax rate to individual line items or set a default tax rate in your settings.
BreederBuddy tracks partial payments. You can record each payment as it comes in and the invoice status will reflect the balance remaining.
Once an invoice is fully paid, you can’t resend it — there’s nothing left for the buyer to pay. If you need to send them something new, create a new invoice instead.
