Waitlists

Waitlists lets you manage your list of buyers waiting on a puppy. You can create separate waitlists for different litters or purposes, capture each buyer’s preferences, collect deposits, share a public signup form, and keep notes on every entry — all in one organized place.

What You Can Do Here

  • Create one or more waitlists for your program or specific litters
  • Add buyers and capture their preferences (sex, color, registration type, pick number)
  • Share a public signup form so new buyers can join the waitlist themselves
  • Collect and track waitlist deposits through invoices
  • Add notes to a waitlist or to individual entries
  • Link a waitlist to an upcoming litter from the litter’s Waitlist tab
  • Export a waitlist (with notes) to PDF
  • Archive waitlists when they’re no longer active

How It Works

Creating a Waitlist

  1. Go to Waitlists in the left menu.
  2. Click Create Waitlist.
  3. Give it a name (e.g., “Spring 2025 Litter” or “General Puppy Waitlist”).
  4. Save — the waitlist is now active and ready for entries.

Adding Buyers to a Waitlist

  1. Open a waitlist.
  2. Click Add Entry to add a buyer.
  3. Link them to an existing contact or enter their details.
  4. Capture their preferences — sex (Male, Female, or Either), pick number, and any other notes you want to track.
  5. Rows are color-coded by sex preference so you can scan the list quickly.

Sharing a Public Signup Form

Each waitlist can have a public form you share with potential buyers — they fill it out and land directly on the waitlist. In the waitlist settings you can control which preference fields appear on the form (for example, ask for sex preference and coat color, or keep it minimal).

Adding Notes

There’s a Notes tab on every waitlist where you can keep a running log — notes on the list as a whole, or on individual entries. Entry-level notes appear on that buyer’s row.

Linking to a Litter

When a litter becomes available, open the litter and use the Waitlist tab to link one or more waitlists to it. From the litter view you can see exactly which buyers are in line for that specific litter.

Collecting Deposits

Deposits are tracked through Invoices. When a buyer pays their deposit invoice, BreederBuddy automatically updates their entry status — so paid buyers are clearly marked.

Exporting to PDF

Use the export option on a waitlist to download a PDF — it includes every entry plus your notes, formatted for sharing or your records.

Archiving a Waitlist

Once all puppies from a litter have been placed and you no longer need the waitlist active, you can archive it. Archived waitlists are hidden from your active view but every record is preserved.

Yes — many breeders run a general waitlist alongside litter-specific ones.
Deposits are tracked through Invoices. When you add a buyer to a waitlist, you can create an invoice for their deposit and send it through the Buyer Portal. Once it’s paid, the entry’s status updates automatically.
Yes — turn on the public signup form for a waitlist and share the link. You can choose which preference fields they see (sex, color, registration type).
Open the litter and click the Waitlist tab. You can link or unlink waitlists from there.
Active waitlists are ones you’re currently managing. Archived waitlists are closed — all the history is still there, but they won’t appear in your default view.
